As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, 'AI Products'). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

USE OF AI TECHNOLOGIES

We provide the AI Products through third-party service providers ("AI Service Providers"), including OpenAI. To protect your privacy, we apply strict safeguards that distinguish between personal identifiers and clinical content.

1. Patient identifiers (e.g. name, email address, contact details):

  • These are collected from your Practice Management System (PMS) only for the purposes of emailing treatment plans to patients and saving them back into the patient's PMS record.
  • Patient identifiers are never sent to OpenAI or any other AI Service Provider.

2. Clinical content (e.g. symptoms, injury details, goals):

  • Before being processed by OpenAI, this information is de-identified so that it contains no names, contact details, or other direct identifiers.
  • Only de-identified, minimal-necessary information is transmitted to OpenAI for the sole purpose of generating a treatment plan.

HOW WE PROCESS YOUR DATA USING AI

All clinical data processed using our AI Products is handled in line with this Privacy Notice and our agreements with third parties. Technical and policy safeguards ensure that:

  • Patient identifiers are kept separate and never shared externally.
  • AI Service Providers only receive de-identified input.
  • Clinicians are required not to input identifiable information into free-text fields used for AI processing.

This layered approach ensures that personal data is protected while still enabling the use of AI to generate treatment plans.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. No purpose in this notice will require us keeping your personal information for longer than three (3) months past the termination of the user's account.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. 11. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems include a Do-Not-Track ('DNT') feature. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals.
